Job Summary
Position Overview
The Legal Administrative Assistant is responsible for providing and coordinating administrative support to an assigned team of managers, attorneys and/or legal specialists in the ConocoPhillips Legal Department.
Your responsibilities may include:
- Managing attorney schedules and updating calendars
- Meeting, planning and scheduling conference rooms, team events/activities, catering and teleconferences, etc
- Coordinating and facilitating meetings
- Preparing and revising legal correspondence, including communications with outside counsel
- Developing and/or maintaining legal files, records and documents in electronic and/or paper format
- Copying and scanning documents
- Coordinating travel arrangements
- Preparing and processing travel and expense reports
- Serve as an ambassador of ConocoPhillips Legal Department through managing incoming telephone calls, emails and/or instant messaging appropriately and professionally
- Receiving, processing and distributing incoming/outgoing mail and facsimile transmissions
- Other administrative duties as assigned by the legal work team and/or reporting supervisor
Basic/Required:
- Must be legally authorized to work in the United States on a full-time basis for anyone other than current employer
- 5 or more years of experience as a Legal Administrative Assistant
- Intermediate level of proficiency with MS O365 applications: Word, Excel, PowerPoint, Outlook, SharePoint, and Teams
Preferred:
- Able to work with highly sensitive documents with a strong commitment to confidentiality, meticulous attention to detail, and adherence to strict security protocols.
- Must be flexible and willing to assist with a variety of administrative tasks
- Highly developed interpersonal skills
- Excellent organizational skills
- Ability to prioritize multiple tasks and adapt quickly to change
- Intermediate level of knowledge of legal terminology and procedures associated with litigation, in particular the discovery process
- Have an understanding, and ability to process transactional documents
- Must be customer focused and service-oriented
- Ability to work effectively in a team environment
