Job Summary
ConocoPhillips Aviation is currently recruiting for a Trip Coordinator position to provide trip scheduling and coordination support for a large on-demand Aviation Department consisting of four aircraft and approximately 12 executives. This position reports to the Chief Pilot and will be responsible for time-dependent logistical decisions for trip success in a dynamic and rapidly changing environment. It will involve developing effective relationships and require ongoing interaction across a broad network of customers, internal and external resources, and service providers to ensure consistently flawless pre-trip planning, real-time trip support and post-trip reviews for quality assurance. This position also supports other activities of the aviation department and will interface with executive management and their assistants.Position Overview
Your responsibilities may include:
- Coordinating requests for aircraft and scheduling these aircraft utilizing Scheduling software system
- Arranging trip details and developing itineraries for passengers and trip packets for flight crews, including hotels, ground transportation, commercial airline arrangements, passport & visas, etc
- 24/7 aircraft flight following via aviation tracking system
- Pre-trip coordination to include route, risk and security analysis and flight planning to ensure Flight Operations Manual and ISBAO compliance
- Post-trip reviews and audits, data entry and accurate trip documentation & reporting
- Ensuring 24/7 coverage of phone and email to support trips on a rotational basis, including assigned standby duty
- Coordinating and arranging flight logistical requirements with international service providers, including FBOs, fuel providers, catering services, Customs, Immigration, and other government agencies, etc
- Ensuring aircraft compliance by maintaining current insurance, registrations, taxes, licenses, & permits
- Tracking and maintaining flight crew currency to meet FAA and corporate standards requirements
- Representing Aviation as a first contact with customers and resolving issues
- Maintaining a current library of processes, manuals, standard operating procedures and other critical records to meet regulatory requirements, ensure operational rigor and standardization
- Specific projects and other tasks as assigned by management
Basic/Required:
- Legally authorized to work in the United States
- 3 or more years of flight scheduling, administrative, and aviation experience
- Advanced proficiency utilizing a trip scheduling software system
- Advanced proficiency in deciphering ICAO/IATA codes
- Intermediate proficiency with international operations & procedures
- Intermediate proficiency or higher with computers and programs, including Windows, Microsoft Word, Excel, PowerPoint
- Beginner knowledge or higher of world geography
- Willing and able (with or without reasonable accommodation) to work a 24/7 rotational schedule and be flexible to accommodate any and all changes as they come in
- Willing and able (with or without reasonable accommodation) to travel 25% of the time on a yearly basis
Preferred:
- Bachelor’s degree
- Dispatcher’s License
- 1 or more years of Meteorological experience
- Ability to work effectively with little direct supervision
- Builds effective solutions based on available information and makes timely decisions that are safe and ethical
